Best Accounting Software for Startups in 2026
Every startup needs real books — for taxes, for investors, and for knowing whether you're actually making money. The four options worth considering are QuickBooks Online, Xero, FreshBooks, and Wave. Pricing moved a lot in 2026 (both QuickBooks and Xero raised prices), so here's where things stand.
| QuickBooks Online | Xero | FreshBooks | Wave | |
|---|---|---|---|---|
| Entry price | Free plan ($0); Simple Start $38/mo | Early $25/mo | Lite $23/mo | Starter $0 — free |
| Mid price | Essentials $85/mo | Growing $55/mo | Plus $43/mo | Pro $19/mo |
| Users | Per-plan seat caps (1/3/5/25 per third-party reviews) | Unlimited on every plan | 1 included; extra seats $11/mo each | Unlimited on Pro |
| Invoicing limits | Unlimited on paid plans (Free: 2/month) | Early capped at 20 invoices/quotes + 5 bills per month; unlimited above | Priced by client count: 5 (Lite), 50 (Plus), unlimited (Premium) | Unlimited invoices and estimates |
| Payroll | Paid add-on (QuickBooks Workforce) | US payroll via Gusto add-on | FreshBooks Payroll add-on ($40/mo + $6/user, Gusto-powered) | Wave Payroll: $40/mo + $6/employee, all 50 states |
| Best for | The US default; accountants know it | Cost-smart teams of 2+ | Invoicing-heavy freelancers | Pre-revenue, free |
1. Xero — best value for most startups
Xero's killer feature for startups is simple: unlimited users on every plan. QuickBooks charges you per seat; Xero lets the whole team (and your accountant) in at $25/mo on Early or $55/mo on Growing. Bank reconciliation is best in class, Growing removes all invoicing caps, and Established adds multi-currency and project tracking. US payroll runs through a Gusto integration.
Watch for: Xero announced a US price increase effective October 1, 2026 (Early $25→$27, Growing $55→$59, Established $90→$97, per reporting of Xero's announcement) — budget accordingly. The Early plan's 20-invoice monthly cap is a real ceiling for growing businesses. And if your accountant only speaks QuickBooks, you'll be translating.
2. QuickBooks Online — the US default
QuickBooks Online is what most US accountants expect to see, and its ecosystem is unmatched: payroll (QuickBooks Workforce), payments, time tracking, and hundreds of integrations. There's even a genuinely free plan (1 user, 2 invoices/month, 1 connected bank) for the earliest days. Simple Start at $38/mo covers a solo founder; Plus at $140/mo adds inventory, budgets, and project profitability.
Watch for: Intuit raised Essentials/Plus/Advanced prices on August 1, 2026 (now $85/$140/$340), making it the priciest option here — and the per-plan seat caps (1/3/5/25 users) force upgrades as you hire. The 50%-off-for-3-months promo softens the landing but not the renewal.
3. FreshBooks — best for invoicing-heavy freelancers
FreshBooks is the easiest of the four to use and the most invoice-obsessed: beautiful invoices, late-payment reminders, time tracking, and client portals. Lite at $23/mo (currently $1/mo for the first year on a promo) is a gentle on-ramp for solo service businesses, and there's a 30-day free trial with no credit card required.
Watch for: pricing is by billable client count (5 on Lite, 50 on Plus), and every plan includes just one user — extra seats are $11/mo each. Double-entry accounting reports and bank reconciliation only appear on Plus and up. It's a poor fit for product businesses, teams, or anyone needing inventory.
4. Wave — best free option for pre-revenue founders
Wave is the only genuinely free full double-entry accounting software here: unlimited invoices, estimates, bills, and bookkeeping records on the $0 Starter plan. The $19/mo Pro plan adds automatic bank imports, receipt scanning, and lower card-processing fees. Wave Payroll ($40/mo + $6/employee) now covers all 50 states.
Watch for: there's no inventory management and no advanced reporting — you'll outgrow it. Payment processing (2.9% + $0.60 per card transaction after your first 10 each month, which carry no per-transaction fee; Amex is 3.4%) is how Wave makes money, so factor that in if you invoice heavily.
How to choose in 5 minutes
- Ask your accountant first. If you have one (or plan to), their preference overrides everything — a QuickBooks-only accountant plus Xero equals friction.
- Count your seats. Two or more people touching the books? Xero's unlimited users or Wave Pro beat QuickBooks' per-seat pricing.
- Check your invoicing volume. Under 20 invoices a month, Xero Early works. Heavy invoicing with few clients? FreshBooks. Product business with inventory? QuickBooks Plus.
- Price the payroll add-on separately. Accounting and payroll are separate purchases everywhere here — compare the combined cost, not just the accounting plan.
