QuickBooks vs Xero: Best Accounting Software for Startups in 2026

Updated October 2026 · 9 min read

Every startup needs real accounting software from day one, and for most founders the choice comes down to two names: QuickBooks Online and Xero. QuickBooks owns the US market and your accountant almost certainly uses it. Xero is cheaper per head, stronger internationally, and keeps winning on usability. Both raised prices in 2026, which changed the value math. Here is the honest breakdown.

QuickBooks Online: the US default

QuickBooks is the safe choice in the US for a reason: your CPA already knows it, your bookkeeper already knows it, and the ecosystem of US bank integrations is unmatched. Four plans run from Simple Start at $38 to Advanced at $340 per month, after Intuit's August 2026 price increase (the sixth straight year of hikes: Essentials went $75 to $85, Plus $115 to $140, Advanced $275 to $340). Payroll is built in rather than bolted on, inventory on Plus and up is genuinely deep, and project profitability tracking is mature.

The catch: per-seat pricing punishes teams. Adding a fourth user forces you from Essentials ($85) to Plus ($140). Prices rise every year like clockwork. Multi-currency starts at Essentials, but Xero does it better. And if you ever leave, QuickBooks makes exporting your own data just annoying enough to notice.

Pick QuickBooks if: you're US-based, want native payroll and inventory in one login, or your accountant insists (and they will).

Xero: the international challenger

Xero's killer feature is structural: unlimited users on every plan. For a team of four, Xero Growing at $59 beats QuickBooks Plus at $140 by a wide margin, and the gap only grows with headcount. Three plans run $27, $59, and $97 per month after Xero's own October 1, 2026 price increase (Early $25 to $27, Growing $55 to $59, Established $90 to $97). Established includes multi-currency across 160+ currencies with automatic rate updates, plus a direct Wise Business bank feed that auto-syncs multi-currency balances, something QuickBooks can't match. The 1,000+ app marketplace is the largest in the category, and bank reconciliation is widely rated the cleanest of the two.

The catch: there is no native US payroll; you route through Gusto (around $49 + $6 per employee), which costs roughly the same as QuickBooks Payroll but lives outside your books. Support is online and email only, no phone. The Early plan caps you at 20 invoices and 5 bills a month, so high-volume freelancers need Growing.

Pick Xero if: you have a team and watch per-head cost, you deal in multiple currencies, or you want the cleanest reconciliation workflow.

The verdict: US startup that needs native payroll, real inventory, or an accountant who already lives in QuickBooks? QuickBooks Plus, and budget for the annual hikes. Team of two or more watching cost? Xero Growing at $59 is less than half the price of QuickBooks Plus. International or multi-currency? Xero Established at $97 wins outright. Solo freelancer? Compare QuickBooks Solopreneur ($20) against Xero Early ($27) on invoice volume. Frequently asked questions

Is Xero actually cheaper than QuickBooks?

For teams, yes, and it's not close: unlimited users on every Xero plan versus QuickBooks' 1/3/5/25 caps. A four-person team pays $59 on Xero Growing versus $140 on QuickBooks Plus. For a solo founder, they're comparable ($38 vs $27 at entry).

Which is better for multi-currency?

Xero Established. 160+ currencies with automatic exchange-rate updates and a direct Wise Business feed. QuickBooks offers multi-currency from Essentials up, but the experience is thinner. If you invoice or pay across borders, also see our cross-border payments comparison.

Does Xero have payroll?

Not natively in the US. Xero integrates with Gusto, which handles payroll while Xero handles the books. QuickBooks Payroll is built in from $50 plus $6.50 per employee. Our payroll software comparison covers the standalone options.

Can I switch from QuickBooks to Xero later?

Yes, both offer migration tools and most bookkeepers can convert a file in a day. The friction is rarely technical; it's your accountant's preference. Ask them before you commit, not after.
